Case Study Healthcare & Life Sciences United States
A US healthcare staffing agency now makes onboarding decisions faster, with AI agents checking clinician compliance paperwork and the agency’s reviewers keeping every final decision.
In this case study
Every day a clinician’s file waits in review is a day they cannot start a placement.
The client is a US healthcare staffing agency that places clinicians and life sciences professionals with healthcare organisations across the country. Before anyone starts work, its compliance team checks their paperwork against the job, the placement and the requirements that apply to it.
The agency wanted that review to move faster and more consistently, without handing compliance decisions to software. Success meant clinicians starting placements sooner, with every file reviewed to the same standard.
Successive Digital and Kagen.ai built an AI onboarding workspace for the compliance team on Microsoft Azure. Three choices shaped it.
Reviewers had been moving between four systems to put together a single file. The workspace sits over those systems and shows candidate, job, placement and document data in one view.
A compliance decision in healthcare staffing has to belong to a person. When a clinician signs their paperwork, agents read each document, check the details against the job and the agency’s records, and recommend a compliance package. Anything that does not match is flagged with the agent’s reasoning, and the reviewer approves or escalates the file.
Turnaround had varied from file to file, and urgent cases had no way to stand out. Files now move through queues with service-level targets, so urgent and overdue cases come up first. Every check, decision and action is logged.
Requisition, placement and request data now arrive from Bullhorn, Zendesk and Able in the same dashboard row, so reviewers make 65% fewer manual moves between applications on each file.
That preparation now finishes before a reviewer opens the file. The webhook trigger, document extraction and validation matrix run as soon as paperwork is signed, so files move from signed paperwork to an approve-or-escalate decision 50% faster.
Faster decisions then add up across the workload. Files arrive already checked, and every row shows its SLA timer and AI status, so reviewers take ready files first and move straight to the next. The team now completes twice as many reviews in the same working time.
For the agency, this means it can respond to rising placement demand with the team it already has instead of waiting to hire more reviewers. It can also show an auditor or a healthcare client exactly how any clinician was cleared. Before, that evidence was spread across several systems and had to be pieced together by hand.
